HR Coordinator with Payroll
Kells, Co. Meath
Permanent, Full time
Office based
Salary: €35,000 - €40,000 DOE
Hours: Mon to Thurs 9 – 5pm, Fri 9 – 4pm
HR Administration
- Assist in processing new starters, leavers and variances. Setting up for payroll.
- Set up new starters on clock-in machines.
- Assist in processing employee contracts and addendums to ensure HR filing is up to date.
- Maintain accurate employee records, including personal information, attendance, leaves, and benefits.
- Assist in the recruitment process by posting job openings, scheduling interviews, and conducting background checks.
- Assist in handling employee inquiries regarding HR policies, procedures, and benefits.
- Assist in administering employee benefits programs, including health insurance, retirement plans, and other benefits.
- Assist in tracking long service, birthdays, absence, disciplinaries, leaves, probations and performance reviews, chasing paperwork as required.
- Support managers with taking and typing notes at investigations, grievance and disciplinary meetings.
- Support with implementation of Company Policy & Procedures.
- Be flexible to carry out other duties as requested by the HR Manager.
Payroll Processing
- Manage end-to-end weekly payroll processing activities, including data entry and verification.
- Ensure compliance with relevant laws and regulations regarding payroll reporting and taxation.
- Address any payroll-related inquiries or discrepancies from employees in a timely and professional manner.
- Collaborate with HR & Finance departments to collect information for payroll inputs, reconcile payroll data and resolve any discrepancies.
- Resolve payroll-related queries from employees and offer guidance and support.
- Lead efforts to streamline the payroll process including control and automation improvements
- Ensure timely and accurate payroll tax filings and submissions.
- Prepare and present payroll-related data reports as needed by Management
- Be prepared to assist in payroll related projects as assigned by Management.
Compliance and Reporting
- Stay updated on changes in labor laws, tax regulations, and other relevant legislation affecting payroll and HR practices.
- Prepare and submit required reports to regulatory agencies, such as tax filings and compliance reports.
- Assist in audits of payroll and HR records, ensuring accuracy and compliance with internal policies and external regulations.
GDPR
- Ensure General Data Protection Regulation (GDPR) provisions are maintained in the interest of the company and legislation.
- Act as an advocate for issues relating to data protection and privacy, including raising awareness, promoting good practice and challenging poor practice.
- Ensures the organisation is complying with GDPR's requirements, report data breaches appropriately if they occur within as per GDPR requirements.
The Person
Qualifications
- Bachelor degree in one of the following; Human Resources, Business Administration. CIPD desirable but not compulsory.
- 2 to 5 years, proven experience in payroll processing and HR administration.
- Experience working in a fast-paced, dynamic environment.
- Experience with process improvement and streamlining payroll and HR procedures.
- Strong knowledge of payroll systems and software.
- Familiarity with employment laws, regulations, and compliance requirements.
- Excellent attention to detail and accuracy in data entry and record-keeping.
- Strong communication and interpersonal skills.
- Ability to handle confidential information with discretion and integrity.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
