The Role
Leinster Appointments is currently recruiting for a permanent, full time PA role in Co. Kildare.
This is a fully office based opportunity.
Salary up to €60,000 plus bonus, pension, and other benefits.
Main duties:
- Act as key contact between client contacts and the CEO.
- Provide high level secretariat support to key internal and external meetings involving the CEO, including preparing agendas, co-ordinating, etc.
- Prepare for meetings with the Board, sub committees, senior leadership, and management teams (i.e., schedule, prepare logistics and distribute materials for scheduled meetings, liaise with the Company Secretary as appropriate).
- Overall Office Management of a 7 person office.
- To proactively and promptly review and track incoming enquiries such as invitations, complaints, and correspondence, responding directly or advising on responses to the CEO, providing clarity of outcomes/actions.
- Manage incoming and outgoing correspondence (phone calls, post, letters)
- To make administrative arrangements and planning for internal and external meetings and conferences, attending as necessary and to operate a system to ensure the CEO is fully briefed for meetings.
- To prepare correspondence, reports, memos, and presentation material as required, noting the need for accessibility in all documentation from all sources.
- Forward plan with the Chief Executive to ensure actions are completed and meetings are scheduled in the calendar.
- Develop and maintain the CEO’s paper and electronic filing and information systems.
- Maintain a coordinated and up-to-date calendar for the CEO by determining the urgency and nature of requests, making necessary arrangements, and resolving time conflicts. Organise and schedule meetings with employees and external stakeholders.
- Organise and keep track of all projects and files handled by the CEO. Create and maintain databases and tracking systems.
- Booking of all travel arrangements for the Senior Team.
- Being responsible for processing expenses, credit card returns and raising purchase orders and other finance related duties as directed by the CEO.
- To undertake specific areas of responsibility and special projects, as required, to support the CEO.
The Person
- Previous experience in a similar administrative or executive assistant role is required.
- Experience handling confidential information with discretion and professionalism.
- Familiarity with office management procedures and best practices.
- Proficiency in using office software such as Microsoft Office suite (Word, Excel, PowerPoint, Outlook)
- Excellent communication skills, both written and verbal.
- Strong interpersonal skills, including the ability to interact professionally with clients, executives, and staff at all levels.
- Exceptional organizational and time management skills, with the ability to prioritize tasks effectively and meet deadlines.
- Attention to detail and accuracy in all work performed.
