The Role

Leinster Appointments is currently recruiting for a permanent, full time Service Operations Administrator in Dublin 24.

Main duties: 

Main Duties

Service Order & WIP Management

  • Process service orders (jobs) and work-in-progress (WIP) through to invoicing to maximise revenue and profitability.

  • Monitor WIP activity across the service function, identifying and resolving issues that may delay job completion.

  • Ensure timely, accurate, and efficient job closure in line with financial targets.

  • Deliver a proactive, high-quality service experience that consistently meets or exceeds customer expectations.

  • Liaise with customers to obtain purchase orders (POs) prior to invoicing, supporting prompt and accurate payment.

  • Maintain clear and proactive communication with internal departments regarding service updates, issues, and required actions.

  • Work closely with service engineers, service controllers, quotation teams, and the Service Operations Manager to support efficient job progression.

  • Support revenue and margin optimisation by ensuring accurate and complete information is available for service quotations.

  • Maintain accurate and up-to-date records within service planning tools, customer databases, and internal systems.

  • Complete ad hoc administrative tasks to support service operations and departmental requirements.


The Person

  • Proven experience in a service operations, administration, or coordination role.

  • Strong organisational skills with excellent attention to detail and the ability to identify and correct errors.

  • Effective time management skills, with the ability to manage multiple priorities in a fast-paced environment.

  • Confident communicator, able to engage professionally with customers, engineers, internal teams, and management.

  • Comfortable liaising with customers to request purchase orders and resolve invoicing-related queries.

  • Competent in using service planning tools, CRM systems, and Microsoft Office (particularly Excel and Outlook).

  • Experience working with job management systems, WIP reporting, and invoicing processes.

  • Proactive problem-solver with the ability to identify issues, take ownership, and drive resolutions.

  • Strong analytical skills with a focus on process improvement and supporting revenue optimisation.

  • Experience in a technical, engineering, facilities, or field service environment is desirable.

  • Reliable, adaptable, and customer-focused, with a positive and solutions-oriented approach.
