The Role
Leinster Appointments is currently recruiting for a Permits Coordinator to join a well-established organisation based in Dublin 12. This role is working in the HR Department and reporting to the HR Director.
This is a fully office-based, 6-month contract offering standard working hours of Monday to Friday, 9:00am – 5:00pm.
Key Responsibilities
- Manage permit applications and associated documentation from initiation through to completion.
- Maintain accurate employee and permit records across internal systems.
- Ensure all documentation is complete, compliant and submitted within required deadlines.
- Liaise with employees, managers and external agencies regarding permit requirements and queries.
- Monitor permit expiry dates and proactively coordinate renewal processes.
- Update databases, spreadsheets and internal systems with a high degree of accuracy.
- Prepare reports and maintain confidential records.
- Provide administrative support to the wider HR and administration teams as required.
- Ensure all documentation is managed in accordance with company policies and GDPR requirements.
- Identify and support opportunities to improve administrative processes and efficiencies.
The Person
Candidate Profile
- Minimum of 2–3 years' experience in a fast-paced administrative role.
- Excellent organisational and time management skills, with the ability to manage multiple priorities.
- Strong attention to detail and a high level of accuracy.
- Proficient in Microsoft Office, particularly Excel, Outlook and Word.
- Comfortable working across multiple IT systems and learning new software.
- Excellent written and verbal communication skills.
- Ability to handle confidential information with professionalism and discretion.
- Self-motivated, with the ability to work independently as well as collaboratively within a team.
Desirable Experience
- Previous experience in HR administration, compliance, immigration or permits administration.
- Experience maintaining employee records and using HRIS systems.
- Knowledge of employment documentation and right-to-work processes.
