The Role

Leinster Appointments is currently recruiting for a permanent, full time Front Office / Facilities Administrator role.

Permanent full time role 

Salary €30,000 - €40,000 DOE 

Main duties: 

  • Manage reception duties, visitor coordination, deliveries and general front-of-house administration
  • Oversee the daily operations of the studio, ensuring facilities, communal areas and front-of-house functions are maintained to a high professional standard
  • Coordinate studio maintenance, repairs and minor improvement works in collaboration with management and external contractors
  • Serve as a primary contact for facilities suppliers and service providers, including cleaning, maintenance, security and utility companies
  • Coordinate workspace setup, equipment and furniture requirements with Production, Line Producers and IT teams
  • Manage studio-arranged crew accommodation, both on-site and off-site, supporting arrivals, departures and changing production requirements
  • Liaise with accommodation providers, cleaners, maintenance contractors and other external partners regarding studio-managed accommodation
  • Support crew relocation and onboarding by providing guidance on accommodation options outside of those managed by the studio
  • Assist new crew members in settling into both the studio environment and the local area
  • Arrange business travel and accommodation for Management as required
  • Oversee daily studio services, including kitchens, consumables and general office supplies
  • Organise internal events and coordinate the studio’s involvement in external events and initiatives
  • Work closely with Cartoon Saloon on shared events and collaborative initiatives
  • Support the administration and coordination of health and safety systems alongside management and external health and safety advisors
  • Assist in maintaining the Safety Statement, statutory records, training documentation and risk assessments
  • Act as a local point of contact for health and safety matters, escalating concerns where necessary

The Person

  • Minimum of 2 years’ experience in a similar position
  • Excellent administrative and organisational abilities
  • Experience in event planning and coordination
  • Strong time management skills with the ability to prioritise effectively
  • Experience assisting with or coordinating workplace health and safety procedures
  • Excellent written and verbal communication skills
  • Ability to manage multiple tasks in a fast-paced and evolving environment
  • Proactive approach to problem-solving, with the ability to anticipate and address facilities-related issues
  • Proficient in Microsoft Office applications, including Excel, Outlook and Teams
  • Fluent in spoken and written English
