The Role
Leinster Appointments is currently recruiting for a permanent, full time Fleet Coordinator in Dublin 12.
This is a permanent, full time role
Fully office based
Salary €40,000 - €45,000 DOE
Main duties:
- Managing the day-to-day fleet operations for a fleet of 200+ vehicles across multiple European locations
- Coordinating vehicle allocation for employees travelling to international project sites.
- Arranging vehicle hire, leasing, renewals and off-hire processes across various countries.
- Liaising with fleet providers, leasing companies and local suppliers to ensure cost-effective fleet solutions.
- Monitoring vehicle usage, servicing schedules, inspections, insurance and compliance requirements.
- Managing breakdown assistance, repairs, maintenance bookings and replacement vehicles where required.
- Tracking fleet-related costs and assisting with budget control and cost-saving initiatives.
- Maintaining accurate fleet records, documentation, contracts and reporting systems.
- Coordinating with internal travel teams regarding employee mobility and project requirements.
- Ensuring compliance with local transport regulations, licensing and company policies across multiple jurisdictions.
- Supporting employees with fleet queries, fuel cards, toll accounts and vehicle-related administration.
- Reviewing supplier performance and negotiating with vendors where required.
- Assisting with travel coordination including accommodation and flight arrangements for project personnel when necessary.
- Producing fleet utilisation and operational reports for management.
- Managing the onboarding and offboarding process for company vehicles and drivers.
Main requirements:
- Previous experience in fleet coordination, fleet administration, travel coordination
- Experience managing multiple vehicles across various locations would be highly advantageous.
- Strong organisational skills with the ability to manage multiple priorities in a fast-paced environment.
- Excellent communication skills with the ability to liaise with international suppliers, employees and internal departments.
- Strong administrative and coordination skills with high attention to detail.
- Proficient in Microsoft Office, particularly Excel and Outlook.
- Experience dealing with vehicle leasing companies, fleet providers or travel suppliers is desirable.
- Ability to work independently while also collaborating as part of a wider operations/travel team.
- Strong problem-solving skills and ability to respond quickly to operational issues.
- Experience maintaining records, tracking costs and producing reports.
- Knowledge of vehicle compliance, servicing schedules and fleet documentation would be an advantage.
- Comfortable working across multiple European regions and coordinating with international teams.
- Full clean driving licence desirable.
- Experience in construction, engineering, utilities or project-based environments would be beneficial.
