Leinster Appointments is currently recruiting for a permanent, full time Transport Compliance Administrator in Co. Kildare
Permanent, full time role
Fully office based
Monday - Friday 8am - 5pm or 9am - 6pm
€35,000 - this is negotiable for more experienced candidates
Main Duties
- Process driver envelopes daily, ensuring all documentation is reviewed, accurate, and complete.
- Issue Proof of Delivery (POD) documents to customers within required timelines and manage customer-specific POD reporting.
- Respond to customer queries relating to PODs and delivery documentation in a timely manner.
- Maintain, organise, and archive all transport paperwork, including hazardous (HAZ) and waste-related documentation for audit and compliance purposes.
- Manage Lidl contract administration, including collecting and reviewing Lidl Delivery Records (LDRs) and cross-checking them against delivery documentation.
- Liaise with drivers to resolve discrepancies and ensure all records are accurate and complete.
- Verify TPP reports against LDR documentation and ensure all records are properly stored and filed.
- Monitor driver adherence to LDR procedures and provide guidance where necessary.
- Prepare weekly reports on outstanding or missing LDRs and communicate updates or process changes to drivers.
- Attend internal and Lidl operational meetings, prepare agendas, and maintain contract documentation files.
- Support fleet maintenance administration by ensuring completion of daily vehicle walk-around checks.
- Monitor systems such as Blue Tree and Cameramatics for alerts including temperature deviations, door openings, and geofence issues.
- Maintain and update fleet maintenance records, including inspection schedules, purchase orders, and compliance documentation.
- Coordinate with mechanics regarding vehicle maintenance and repairs, ensuring all documentation such as job cards and inspection records is up to date.
- Manage vehicle-related invoices and maintain accurate records of costs and repairs.
- Administer tachograph compliance by collecting, reviewing, and filing tachograph charts in line with regulatory requirements.
- Ensure driver infringements are reviewed and signed off appropriately.
- Support driver compliance and administration, including assisting HR with non-conformance issues.
- Manage driver uniforms and equipment, including stock control and issuing items as required.
- Track training requirements such as pallet truck training and ensure all drivers maintain valid CPC certification.
- Manage financial and supplier administration by obtaining invoices, maintaining cost trackers, and supporting pricing records.
- Provide general administrative support to the transport team, including handling calls, responding to queries, and assisting with operational issues as they arise.
- Carry out additional duties as required to support the transport function.
The Person
- Strong administrative and organisational skills with the ability to manage high volumes of documentation accurately.
- Excellent attention to detail, particularly in relation to compliance, reporting, and record-keeping.
- Strong communication skills with the ability to liaise effectively with drivers, customers, suppliers, and internal teams.
- Ability to work to deadlines and manage multiple priorities in a fast-paced environment.
- Proficiency in Microsoft Office, particularly Excel, and experience maintaining tracking systems and spreadsheets.
- Ability to identify and resolve discrepancies or issues in a proactive and timely manner.
- Experience in transport, logistics, or a compliance-driven environment is advantageous.
- Understanding of driver compliance requirements, tachograph regulations, or fleet maintenance processes is desirable.
